Administrative Assistant

Job Description 
The administrative assistant is responsible for a variety of admin functions and provides support to the accountant, grants manager and other staff.  Tasks will include data entry in Quickbooks and Salesforce; weekly deposits; admin support tasks and errands; event support; special projects; communication and interaction with a variety of individuals and groups.

We are looking for an individual who is interested in and enthusiastic about Soil Born’s mission and would like to help us continue to advance it throughout the community. This is an entry level position that can provide opportunities for professional growth within the organization. We are also open to the possibility of hiring two individuals who would work well in a job sharing situation.

Key Responsibilities:
  • Entering accounts payable and accounts receivable in Quickbooks.
  • Heavy use of spreadsheets to track various functions.
  • Handling incoming money, counting weekly deposit, preparing change bag for markets/events.
  • Managing daily credit card transactions and communicating with payers.
  • Data entry into Sales Force- entry of waivers, mailing lists, event attendance and more into our donor, volunteer, supporter database. Regular review for errors/accuracy.
  • Support with donor communications.
  • Board of Director updates.
  • Retrieving and sorting mail.
  • Additional admin duties – including but not limited to: preparing for and processing new staff; assisting with yearend accounting tasks; accounting and grant filing; creating new grant files; making copies of accounting forms; event and outreach support.

Hours and compensation:
  • 40 hours/week with some evenings and weekends required
  • Compensation: $13 per hour
  • Benefits for full time staff: Medical, vision and dental. 401k, paid holidays and paid time off

Experience Required:

  • Attention to detail and typing accuracy essential, with a typing speed of 50 WPM or higher.
  • Excel spreadsheet skills necessary.
  • Good communication skills and phone etiquette necessary.
  • Easy to work with and comfortable in an open office setting.
  • Bookkeeping, cashiering, money handling, a plus.
  • Familiarity with Quickbooks a plus.
  • Knowledge of Salesforce a plus.
  • Proof reading skills a plus.
  • Knowledge of Word mail merge a plus
  • Experience in the non-profit sector helpful
