The administrative assistant is responsible for a variety of admin functions and provides support to the accountant, grants manager and other staff. Tasks include working with Salesforce database; donor management tasks; mail responsibilities; admin support tasks and errands; event support; special projects; communication and interaction with a variety of individuals and groups.
Duties & Responsibilities:
Administrative Duties ● Retrieving and sorting mail, responsible for outgoing mail ● Answering incoming phone calls and check voicemails according to phone schedule ● Maintaining phone messages and train new staff on phone system ● Support duties related to weekly farmstand, including signage updates, register updates and inventory tracking ● Printing, copying and distributing internal and external documents including marketing materials ● Monitoring and maintaining cleanliness in the office ● Assisting in social media management and message creation ● Submitting sponsorship applications for programs and events
Salesforce Database Support ● Entering data related to volunteers and many of our programs ● Review regularly for errors/accuracy ● Create and run Salesforce campaigns and reports and other Salesforce-based operations as needed
Fund Development Support ● Managing donor thank you process ● Submitting sponsorship applications for programs and events
Accounting & Human Resource Support ● Tracking detailed inventory in spreadsheets for Farmstand enterprise ● Maintaining and collecting vehicle mileage logs ● Maintaining staff vacation calendar – physical and Google calendar
Miscellaneous Duties ● Watering plants in various unirrigated locations ● Supporting with events and outreach opportunities
Education & Experience:
● Knowledge of Salesforce database highly desirable ● Social media savvy – Facebook, Instagram and Twitter in particular ● Attention to detail and typing accuracy essential, with a typing speed of 50 WPM or higher ● Excel spreadsheet skills necessary ● Good communication skills and phone etiquette necessary ● Easy to work with and comfortable in an open office setting ● Proof reading skills a plus ● Knowledge of Word mail merge a plus ● Experience in the non-profit sector helpful
Hours and Compensation This is part-time position with the opportunity to grow to full time for the right candidate. Will occasionally require working evenings or weekends. Hourly wage based on experience. Paid holidays, paid time off and farm produce provided.
